Why Information Architecture Is the Foundation for Copilot Success

A Copilot conversation often starts with licences and use cases. A useful next conversation is about the information those use cases depend on: who owns it, who can access it, and whether it still describes how the business works.

Start with a business question

Choose a concrete task before assessing the whole tenant. A policy question, a project handover, or a customer briefing will each depend on different sources. List the information a person needs to complete that task, then follow the path they take to find it.

This turns a broad readiness exercise into an observable problem. If two policies disagree or the latest project decision is difficult to identify, the team has something specific to improve.

Access is part of the architecture

Microsoft documents that Copilot respects existing permissions and sharing settings. That makes access review part of readiness: information that is accessible too broadly needs attention before it becomes easier to discover.

Work with business owners to establish the intended audience. Distinguish information that is genuinely shared across the organisation from content that belongs within a project, a function, or a restricted group. Avoid treating a search visibility setting as a substitute for correcting inappropriate access.

Make the authoritative source recognisable

Agree which location holds the authoritative version of important guidance. Useful titles, consistent business terms, and clear ownership help people distinguish an approved source from a working copy.

Metadata should earn its place. Start with fields that support an actual decision or retrieval task, such as business area, document purpose, or review responsibility. Adding more fields without a stewardship process simply creates another maintenance problem.

Readiness is a recurring practice

Set a review rhythm around the information that matters most. New projects, staff changes, and revised policies can all change the information landscape after an initial assessment.

A practical pilot should capture both useful answers and gaps in the underlying sources. Review those gaps with owners and use them to shape the next round of improvements. Better information architecture is an operating discipline, not a guarantee of perfect AI answers.
